1. OFFICE MANAGEMENT SECRETARY GRADE II – (4 POSTS)
Duties and Responsibilities:
- Typing letters, reports, and confidential documents.
- Receiving guests and directing them to appropriate offices.
- Retrieving and organizing necessary files and documents.
- Receiving and distributing files to officers in relevant divisions and units.
- Storing and returning files to the appropriate locations.
- Preparing summaries and arrangements for various meetings.
- Preparing requisitions for office supplies.
Qualifications:
- Certificate of Secondary Education (Form IV or VI).
- Diploma in Secretarial Studies or NTA Level 6 Certificate in Secretarial Studies.
- Passed shorthand in both Kiswahili and English (100 words per minute).
- Proficient in office computer applications: Word, Excel, PowerPoint, Internet, Email, and Publisher from a government-recognized institution.
Salary Scale: TGS C1
2. RECORDS MANAGEMENT ASSISTANT GRADE II – (4 POSTS)
Duties and Responsibilities:
- Registering incoming and outgoing correspondence.
- Distributing files to relevant officers.
- Receiving returned files from officers.
- Storing files in proper filing cabinets or shelves.
- Monitoring file movement within the institution.
Qualifications:
- Certificate of Secondary Education (Form IV or VI).
- Diploma (NTA Level 6) in Records Management from a government-recognized institution.
- Must possess computer skills.
Salary Scale: TGS C1
GENERAL CONDITIONS FOR APPLICANTS:
- Applicants must be Tanzanian citizens between 18 and 45 years old.

- Retired public servants are not allowed to apply unless they have a permit from the Chief Secretary.
